WG Pollard Ltd are a high security company where the records of our customers are of the utmost importance to us and the level of protection of data is expected to be higher than that of most commercial businesses.
WG Pollard Ltd do not use any personal customer information for anything other than what was intended and there is no marketing structure in place where we would contact a customer and the information is not passed onto any third parties.
If any information needs to be retained then this will be explained in writing and signed for to acknowledge the customers understanding of how their information will be treated.
All of WG Pollard Ltd’s premises are locked and secured with access via a PC based access control system that has full audit capability. Access through sensitive areas is for staff only with no customer access. Any visits by non WG Pollard Ltd persons are always escorted. Windows and doors are installed to a high security standard often with secondary grills and security and the buildings are protected by an intruder alarm system and also internal and external CCTV coverage. All sensitive information is kept in a locked, secure and fire proof cabinet that is in a secure area.
What data do we collect:
A customers name, address and contact details such as a telephone number and e-mail address are stored along with the customer’s signature if they wish to manage their system that way. The information is provided by the customer and it is not obtained in any other way.
Card payment transactions :
Customers will call the office and a payment is made by manually entering the information into the card machine. A receipt is printed but no personal data is recorded or retained.
Shop Service Tags :
The customer can choose to leave contact information like a name and telephone number so they can be contacted when the goods they have ordered or had repaired are ready for collection. This information is paper based and is not transferred anywhere else. When the work has been collected by the customer the job card is shredded by a machine and disposed of and logged on the sheet.
PP Files :
Customers knowingly provide their contact details and signature in order to maintain a level of security for their key systems. The customers can leave a signature on record so that keys are only cut and released once the authorised signature is confirmed. If the customer wants to remove this information it can be easily shredded and destroyed at their request. The PP files are stored on hard copy and are kept in a secure building that has access control with audit capability, high security doors, window grills, an intruder alarm and lockable filing cabinets. Signatures are kept indefinitely but are easily sourced and destroyed if requested by a customer.
Guidelines issued by the MLA ( Master Locksmith Association ) dictate that a customer has to prove that they are the owner of a property before we can gain access. This is normally done in the form of a passport or household bill. Once received an engineer visits site and completes the work after a disclaimer has been signed advising the customer that the documentation associated with the works will be retained for 2 years and then destroyed.
Destruction of Data:
For any customer information that is taken without the need for a privacy agreement then the data is stored with the paperwork for 2 years and it is then destroyed by shredding. The shredded paper is then collected and disposed of by a professional company.
